Purpose and Scope of Data Collection
The ERA Shuttle Project is committed to protecting your personal data in compliance with the EU General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679). This policy outlines how we process, store, and protect your personal information in connection with your application and participation in the project.
Consent Overview
By submitting your application, you consent to the following:
- Data Processing
- Your personal data, including name, contact details, academic and professional information, and other application-related details, will be collected, processed, and stored for the purposes of:
- Evaluating your application.
- Facilitating secondment opportunities.
- Reporting project activities to the European Commission.

- Data Retention and Security
- Data will be retained securely within EU borders for the duration of the project and for five years after its completion.
- Access to your data will be restricted to authorized project staff, partner institutions, the Research Executive Agency, and authorized auditors.

- You have the right to access, rectify, erase, or withdraw your consent for data processing at any time. Withdrawal may impact eligibility to participate.

Grant Management Reporting Consent
Personal data necessary for reporting your secondment into the Grant Management system of the European Commission will be processed as follows:
- Purpose: To fulfill project reporting obligations.
- Access: Restricted to the project coordinator, the Research Executive Agency, and authorized auditors.
- Retention: Data will be stored within the EU for five years after project completion.

Duration of Data Storage
The data collected will be stored for no longer than necessary to fulfill the purposes for which it was collected or subsequently processed. The data will be stored on AcrossLimits’ servers and can be removed following a specific request by the user to the Data Controller at [email protected].
AcrossLimits Ltd is committed to keeping personal and sensitive data confidential with appropriate safeguards to prevent unauthorized disclosure.
1. Data Processing Consent: When agreeing to this within the Application Form, you are consenting that the ERA Shuttle Consortium collect, process, and store personal data for the purpose of evaluating the application for a secondment placement. Furthermore, you are also agreeing that ERA Shuttle Consortium may store personal data within the EU borders for processing the secondment placements, but for no longer than 5 years after starting from January 1, 2028 in view of the project end date being August 31, 2027 as required by the European Commission Regulations.
2. Data Retention Consent: When agreeing to this within the Application Form, you are consenting that the data will be retained only for the duration necessary for the application process and any subsequent placement. If selected as a secondee you are also consenting that the data will be processed for the purpose of the project evaluation thereafter and stored for five years after January 1, 2028 following the end date being August 31, 2027 as required by the European Commission Regulations.
Right to Lodge a Complaint
Without prejudice to other administrative or judicial remedies, you have the right to lodge a complaint if you believe that your personal data has been processed in violation of GDPR regulations. Complaints can be addressed to the Maltese Data Supervisory Authority:

AI-Powered Interview Consent (optional)
Participation in an AI-powered interview is not mandatory and will not impact your eligibility for a secondment. It is meant to be a supportive tool towards our goals of supporting you to create your individual career development plans. By consenting, you agree to:
- The use of Large Language Models (LLM) tools for the purpose of supporting the individual career development plans.
- Allowing us to store any data created during the usage of the LLM mentioned in point one. Our server in located in Germany and therefore follows GDPR standards.

3. Processing of personal data is carried out on the basis of:
- Consent of participants (Article 6(1)(a) of the GDPR).
- Implementation of the project grant agreement (Article 6(1)(b) of the GDPR).
- Fulfilment of the administrator’s legal obligation (Article 6(1)(c) GDPR).
- Legally legitimate interests pursued by the administrator (Article 6(1)(f) GDPR).
4. Personal information may be shared with:
- Entities authorized to access the data under applicable laws.
- Providers of services that ensure proper execution of tasks by Data Controllers, in particular IT service providers.
- The European Commission as part of inspections and audits.
- Within the framework of secondment for the implementation of project activities, personal data of participants may be transferred to other partner organizations of the ERA SHUTTLE project for the necessary implementation of the project activities in accordance with the GDPR provisions. The transfer of data shall be carried out in accordance with the provisions of the European GDPR and shall ensure an adequate level of personal data protection.
5. Personal data will be kept for the duration of the project and for a minimum period of five years counted from January 1 following the date of completion of the project, as required by the funding body and applicable law.
6. Data subjects have the right to:
- Access to their personal data.
- Correction of incorrect data.
- Deletion of data (right to be forgotten).
- Restriction of data processing.
- Transfer of data.
- Object to data processing.
- Withdraw consent to data processing in connection with participation in an interview with an LLM-based bot, without affecting the compatibility of data processing prior to withdrawal of consent.
7. Providing personal data is voluntary, but necessary for the proper submission and processing of the application. The processing of data by AI (LLM) in the career development plans is voluntary and does not affect the ability to properly submit and process the application.
8. Data subjects have the right to lodge a complaint if you consider that the processing of your personal data violates the provisions of the GDPR to the supervisory authority in the country where you reside, work or where the alleged violation occurred:

9. Administrators inform that they use hierarchical databases (Active Directory) as part of their operations and to this extent may store personal data in the cloud, which may result in the transfer of personal data to a recipient in a third country, but the transfer of such data shall be carried out in accordance with the principles set forth in Article 49 of the GDPR or based on standard contractual clauses. Personal data will not be processed by automated means, including profiling as referred to in Article 22 (1) and (4) of the GDPR.
